Bulk Editing Data with the Editable Grid Feature

Definitions:

  • Entity: An entity in Zapflow is an independent collection of data. Examples include a 'Deal', a 'Company' and a 'Contact', amongst others. A single row of data in a spreadsheet is analogous to a Zapflow Entity.

  • Tenant: The term for a customer environment within the Zapflow application


This article will explain how to use Zapflow's 'Editable Grid' feature, which allows you to edit multiple entities in one place. This functionality is an alternative to opening each entity one-by-one and editing its data within the Entity Viewer. The Editable Grid is available in any view that has a 'Grid View' EXCEPT for KYC, Indirect Holdings and Introductions.

Prerequisites - Enabling the Editable Grid Feature

The editable grid feature is available for most plans. Please check with your dedicated Customer Success Manager or Account Manager to understand if your plan includes this feature. If so, they will confirm this feature is activated for your environment and you will have to perform the following few steps to turn it on in your account:

  • Log into your Zapflow account

  • Click your avatar in the top-right of the application > My Settings

  • Scroll down to the feature toggles section

  • Toggle 'Activate Editable Grid'

Note: If your features toggle section doesn't contain the Editable Grid switch then it needs to be enabled for your environment.

Using the Editable Grid

Once enabled, the Editable Grid is available in any view that has a 'Grid View' EXCEPT for KYC, Indirect Holdings and Introductions.

  • In the example below, we will be using the Dealflow pipeline to showcase the editable grid feature.

  • Once you've switched to Grid-Mode view, you can edit what columns you want to view. On grid-mode view, each column represents a field and you can turn on as many as you'd like. You can also re-order the position of each column by clicking and dragging it to the desired position. Steps to add/remove columns in the grid view:

  • To update a value, double click on its field. Once you've changed the value, your data will be updated in real-time: there is no separate button to click to save your changes

  • Important note - Updating values in Editable Grid mode depends on the field type:

    • Change text or numeric fields by clicking once and entering a new value (Ex: 'Ticket Size')

    • Change drop-down fields by double-clicking and selecting a new option from the drop-down list ( (Ex: 'Stage')

    • Not all cell values can be updated within the Editable Grid; some columns are read-only by design. The list of fields which are read-only depend on the entity in question.



Common Questions

Why does clicking a value in the 'Deal name' column takes me to a new view? Can't I edit the Deal's name from 'Editable Grid'?

You cannot change the 'Deal Name' field within the Editable Grid. Clicking a value in the 'Deal Name' view will open the Entity View for that Deal.

Are there other fields that cannot be edited in the Editable Grid?

There are some fields that won't let me edit them and instead show a 'read-only' tooltip. Why is this?

There are two possible reasons for this:

  1. You do not have write permissions for that particular field. Contact the Tenant Admin for your tenancy to be granted write-permissions on that field.

  2. The field is one of a small selection of fields that are read-only by design. These explicitly read-only fields depend on the entity in question. (If a field does not appear on this list, it ought to be editable from within Editable Grid; please contact Zapflow Support for further assistance)

    The list of explicitly read-only fields, grouped by the parent entity, are:

    1. Deals: Deal Name; the 'Target Asset' field, or any (Company) field sourced from the 'Target Asset' (e.g. 'Target Asset - Category'); Last Hold Comment; Last Pass Comment; On Hold Until; Pass Reason; Pass Reason (V2); Put On Hold; Pipeline

    2. Fundraising Opportunities: Name; On Hold Until; On Hold Comment; Lost Comment; Lost On; Lost Reason; Put On Hold; Put On Hold On; Won On; Pipeline

    3. Sales Opportunities: Name; Hold Until; On Hold Comment; On Hold; Put On Hold; Put On Hold On; Lost Comment; Lost On; Won On; Agreement; Pipeline

Can I edit data from the Entity that is not displayed in the Editable Grid?

You can expose more data from Deals by adding other columns to the Editable Grid: - Open the Dealflow actions menu by clicking the three vertical dots - Click 'Columns' - Toggle any of the 'Deal fields' or 'Company fields' of interest - Click 'Save'


In some spreadsheet software, I can edit using my keyboard; are there any similar shortcuts available in Zapflow's Editable Grid?

Yes, we provide a 'power user mode'! You can try the following:

  • Click on a cell and press <esc> to enter 'focused mode' (indicated by a black border around the cell)

  • Navigate through the Editable Grid's cells using your arrow keys

  • Focus the highlighted cell by pressing <space> or <f2>

  • Exit the cell by pressing <esc>
