Multi-Factor Authentication (MFA) adds a layer of protection to the sign-in process. When accessing accounts or apps, users provide additional identity verification, such as entering a code received by an app on a phone.

Some customers request their users to use an MFA to access their Zapflow accounts. Zapflow allows customers to choose if they want to make this a requirement for all users or make it optional for users to decide. This can be changed at any time by an admin user under Company Settings > Security Settings > Authentication method:

  • 2FA Mandatory for all users - Once logged out, all users will be required to set up the MFA when they try to log back in

  • 2FA Optional for all users - Once logged out, all users will have the option, but will not be required to set up the MFA next time they try to log in

  • Username/Password - No MFA option nor requirement

If this is a requirement for your account, you will need to set up the MFA the first time you log in. When you enter your username (the email address you used to create your Zapflow account) and password, you will be redirected to the following page:

Please follow the steps below to easily activate the MFA on your phone:

  1. Go to your phone's app store and if you haven't yet, search and download either the Microsoft Authenticator or the Google Authenticator app.

  2. The Microsoft and Google Authenticator apps look a bit different but both follow similar and easy processes. For the purpose of this example, I use the Microsoft Authenticator app. When you open the app, press the "+" button at the top right and select the "Other (Google, Facebook, etc.)" option.

3. A screen with your phone camera will open. Please point your phone's camera to your computer screen with the QR code on the page that Zapflow redirected you to (the first screen shown in these instructions above).

4. The app on your phone will automatically save your Zapflow account and provide you with an authentication code to use. These codes are valid only for a few seconds and you will notice a timer in your app that shows you how long the code is valid for before it changes and gives you a new one. The first time you log in you need to provide 2 different codes. You must enter the first code your app shows and wait until a second one loads.

5. You have now finished setting up your MFA. Every time you log in to your account you will be requested a code. The next time you log in you must go to your authenticator app on your phone and type in the authentication code that you're given.
