Sync your email to Zapflow and view all sent/received emails associated to any Deal, Contact, Company, etc. all in your Zapflow environment.

It is very easy to sync your Gsuite or Outlook email to your Zapflow account, just follow the steps below:

  1. Click on your user icon found at the top right corner on any page and then click on "My settings"

2. Scroll down until you find the "Connect your inbox" green button. Click on it and you will see a pop-up window like this:

Under privacy settings, you have the option to share your email conversations with other users, which is generally recommended if what you want is to store all information related to a deal or company in one place. Keeping as much relevant information in one place as possible helps in taking better-informed decisions. However, you also have the option to keep your emails private and your emails will only be synced to your user account and available for you to see only.

Next, you can decide whether to sync your contacts to Zapflow or not.

An important note on contact sync: This feature syncs Outlook or Gmail Contacts, it is an Outlook / Gmail Contact creation tool and not an inbox sweep. An inbox sweep means it creates contacts from your inbox, but what Zapflow's contact sync does is create contacts from the Outlook/Gmail Contact database/address book.

Once you have made your selections, click on Connect. It may take a couple of seconds for the sync to be completed. Please take some time to read the comments on what to expect with this feature:

The email sync will automatically link all historical and new emails associated with any email address copied in the sent or received email message. Please note that for email messages to be properly synced, contact with the email address has to be created in your CRM first, otherwise, the system doesn’t know where to link your emails.

  • Tip: First import all your contacts, companies, deals, investors, etc. into Zapflow. Then, import contact associations to companies, deals, and investors. Contact associations are very powerful within Zapflow and even more when you are using email sync. For example, if you send or receive an email from an employee of Company A, the email will be linked to this employee’s Contact profile (ex: Emma Smith). As shown in the sample screenshot below:

  • Additionally, if this employee’s contact profile is associated with Company A, then the email will also automatically be linked to Company A’s profile. Therefore, when you go into Company A’s profile, you’ll be able to see all emails related to Company A as well as emails related to any contact associated with Company A (in this case, all emails associated with the employee).
